Promotion Rules

  • DateFrom of a 'promoted_to' shift cannot be less, than DateFrom of a 'promoted_from' shift.

  • It is possible to perform a promotion only when Confirm Sign On is made for a rotation 'promoted_from' shift.

    New 'promoted_to' shift will inherit the 'Confirm Sign On/Off 'signs

    (means Confirm Sign On and Confirm Sign Off are made), and then a promotion is made from such a shift, Confirm Sign Off flag is removed from it.

    The reason for this is that the person is removed from Off Signing tab of a corresponding crew change on that date but is added to a Promotion tab instead.

  • Confirmation of promotion needs to be done in Crew Change module, i.e. closing the previous activity and activating (making current) the planned promotion activity.

  • Promotion performed on today's date (Promoted_To shift starts today) makes Promoted_From activity – Historical.

    But leaves Promoted_To activity Planned. Such promotions need to be confirmed in Crew Change module.

  • Making promotions with dates less than or equal to the current date results in confirmed promotions.
    If a promotion is already confirmed - it will not be possible to change its date. A warning message will inform you about that.

  • There may appear situations when the initial Promote From shift has End Date later than the Start Date of the Promoted To shift.

    In this case, the initial shift with assigned person will be truncated; Its new End Date will be one day before the Promote To shift Start Date.
    Pin will be assigned to a Promote To shift and additional shift will be created to cover the days that earlier belonged to Promoted From shift.
    E.g.: Promoted From shift dates are Aug 25 - Sep 09.
    Promotion is performed to a shift with dates Sep 05 - Sep 13.
    Promoted From shift is truncated to Aug 25 - Sep 04.
    New gap shift is added with dates Sep 05 - Sep 09 to cover the days that lack assignment for Promoted From position.

  • If a user wants to promote a person to a shift, that is not linked to crew change, a corresponding message will be shown. So, you need to add calling port, first.

  • If some operation over other shifts results in movement of one of the promotion shifts (e.g. Move Subsequent Shifts) - system displays warning that the promotion will be lost if continue.
    So, a user can decide either he continues or cancels the entire set of plan modifications.

  • It is not possible to delete a promotion in Crew Change module if this promotion has been performed in Rotation Planning module. The warning message is shown in this case.

  • Sometimes it happens that a person is not promoted, but his payscale is changed during his onboard service, e.g. after trial period end when position remains the same, but the wages is changed.

    In this case it is possible to do the promotion via Crew Change module. The user in Crew Change module needs to add the person to Promotion tab, update payscale information.
    When the promotion is confirmed in Crew Change (on the day of promotion or later), the existing activity will be closed and a new activity with the new payscales details will be created.

    Rotation shift will be split into 2 parts accordingly:

    First part is linked to the 'old' activity with previous payscale information and new shift will be linked to the new activity with new payscale.

  • The system will not allow to perform actual promotion (change of rank/position) in Crew Change instead of Rotation Planning, if Rotation is linked to Crew Change.

    In the case when a user tries to perform promotion in Crew Change, and update a Rank and Position, a warning will be shown saying that the promotion is to be done in Rotation Planning module.

Promotion Procedure

To perform the promotion procedure follow this steps:

  1. Select the person who you want to promote with Shift or Ctrl key holding down > select the empty shift you want to promote the person to.

  2. Click Confirm > Perform Promotion/ Position Change

  3. The Promotion screen will appear, asking if a user wants to change position for the selected person and suggesting to choose the End Date of a current activity and a Start Date of a new activity with the new position change. 

    When the needed information is defined, click OK. After that previous activities will be updated, and a new activity will be created.

    You must confirm promotion on the date set for promotion as well as adjust the payscale code accordingly. On adjusting the pascale in the Crew Change module, the same payscale code is then fetched to the Activities datagroup.

User options for Promotion

You can define, if you want to see the links between promotion shifts or not.

Please go to Options > Personal Shifts Gantt >Appearance:

If you want the links to be seen, set Show option, select the color and pen width.

The promotion links will be displayed as the line connecting one shift to another:

If you do not want the promotion links to be seen, select the Hide option (not recommended):

Click OK.

Promotions Using 'Sea-Day' Port

It is possible to link rotation shifts not only to ports, that exist in Crew Change.
There are also cases, when some changes, for example promotions, are held at sea.
To handle such a situation, it is possible to link a promotion shift to a 'Sea-day' port.

For this purpose, you should:

  1. Create a new port type in General Codes Tables -> Travel -> Ports:

    Set the option, indicating that this type of port is to be used in Rotation Planning and Crew Change to perform promotion at sea.

  2. Then create a new port with this General code set as Port Type in the Ports module:

After that the system will suggest in Rotation to link a promotion shift to Sea Day port, if there is no port in Crew Change for the needed date:

Sea Day calling port of the given date will appear in Crew Change module, listing the promoted persons.

Vessel Transfer

This way his sea-service ends onboard one vessel but is continued on another vessel on the very same day.

To cover such situation & avoid cutting one of sea-service activities - we recommend you to use Vessel Transfer functionality.

Warning

Transfers, which are done on separate days, should be handled as different activities.

Vessel Transfer is enabled only for Planned (not confirmed) records.

  1. Perform the SignOff for the shift that belongs to a vessel that is left (vessel 1).

Clear Leave activity in Sign Off Crew Change;

  1. Add the shift for the vessel to be joined (vessel 2) with StartDate = SignOff date for shift being left.

  1. Assign the person to this new shift & perform Sign On (on vessel 2).

  1. Manually change date in Activities datagroup.

Result: You will have two shifts & corresponding activities that have one crossing day, covering the vessel transfer.

Setup:

The following setup is needed to be done beforehand:

A user should have Write access to the field C132 Vessel Transfer in ACC > Fields > Crew Change > Off/On Signers View:

Steps:

Let's review in detail.

Step 1: At Rotation Maintenance view, we advise you to do not open the entire rotation plan but use filtering:

At the bottom of the screen you can select how you would like to open the rotation plan.

Select By Filter.

Here you have selections of criteria you may use to open just the vessels and position you would like work with.

In our example: person on Surveillance Manager position transfers from Vessel 1 to Rima Mari.

In our example: Test Pin 43437 (Surveillance Manager) will sign Off Vessel 1 and embark Rima Mari on 11/12/2018

Step 2: Confirm Sign OFF on vessel 1:

Locate shift, click Confirm > Confirm Sign Off.

Pin will be added as Off Signer to port on 11/12/2018, click Yes.

To save changes, click Apply button.

Step 3:

Go to crew change on 11/12/18 for Vessel 1 > Off Signing tab.

Find the person that transfers ships:

  1. Clear Leave Activity field.

    When the crew change will be then confirmed, Leave activity will not be created for person(s) with Vessel Transfer.

  2. Click the Vessel Transfer drop-down to select the vessel where the person signs on next.
    This will give information where the person moves to.

  3. Under Disembarkation Reason you can select for example Ship Transfer.
    Disembarkation Reason codes should be previously added in General Codes

    Font changed to Blue to indicate Vessel Transfer for this person.

Locate needed shift.

Click Image Removed Assign Person, find Pin, click Copy Selection.

The application will prompt that the crewmember is already assigned to an existing shift/activity on Vessel 1.
Select Keep Person assigned to remaining shift option.

All needed crew change ports need to be added beforehand.

In case you have different port on the same day, here you can select which port is the correct one.

If there is only one port, selection is not active, and you can just click Link to Port.

Confirm Sign On/Off

Person is added to the shift, now you need to confirm sign on/off, so he to appear on corresponding crew changes for vessel 2.

Locate shift, select Confirm > Sign On then Sign Off:

Step 6:

Change activity Estimated End Date.

Go back to the Activity datagroup for target Pin:

  2. You need to edit the EED and enter the correct sign off date (in our case 11/12/18).
