This article describes the service we offer for customers that no longer are using the Adonis system actively, but needs to be able to read data from time to time, or that needs to store a backup database for be in compliance with any national laws or GDPR/Personal Data Protection regulations.

Long-term Storage of Data

According to national laws or other regulations, you as an employer might be obliged to keep important information from your payroll and personnel system for several years after the end of the employment relationship. After that period, the data must then be deleted, in accordance with the GDPR or other Personal Data Protection regulations, unless special circumstances indicate otherwise.

Adonis offers two ways to solve this need: Either by your company getting a user account for the Adonis Cloud with read access to your system. The system will then be open for logging in and reporting at any time.

The alternative is that Adonis stores a passive backup system, where access can be established on request.

Services delivered by Adonis 

1. Standard access to Adonis Cloud with read-only license
   or

2. Storing of an Adonis database backup taken from a current Adonis Cloud database, or as uploaded by the customer*

Customer Responsibilities

1. *Processes and procedures for to make sure that data in an operative database is deleted/pseduonymized according to laws and regulations

2. *Performing the deletion of pseduonymization via the Adonis GDPR plug-in tool
   

*Only applicable for the read database or upon restoring a backup.

Out of Scope

The service does not cover

1. Restoring a backup if there is a need to re-establish access. This can be offered for additional cost at the time of the request

2. Deletion of data that from the time the backup was taken, until a restore, should be erased according to any laws or regulations
