This article will describe the process of rebuilding the payroll accumulators in steps.

Background

When in Accumulator History you find that Payroll Accumulator has taken the wrong value or missed to take a value from payroll entries, in most cases you can solve this by changing the setup of accumulation on Entry Codes and then you will need to perform Rebuild of Accumulator to update Accumulator History.


Functionality description

Rebuild Accumulators button is located under Setup > Maintenance > Payroll Routines.

There are 2 separate routines:

  1. No Calculation - always is a preferred option. No calculation means that payroll entries giving amounts to accumulator, that is being rebuilt, will not be recalculated, the system will simply take the values that are stored in payroll historical entries and add them to payroll accumulator according to the new setup.
  2. With Calculation and Script - not preferred option, the usage must be agreed with Adonis support first. With Calculation and Script means the payroll entries giving amounts to accumulator that is being rebuilt will be recalculated according to their current payroll scripts to define the new values for accumulator. This brings risks of ruining the accumulator values.


Both routines update Accumulator History, the changes can be checked in Payroll > Accumulators > History.

Step-by-step guide

Update setup of accumulation on Entry Codes

Each Entry Code can be setup to accumulate a value in Entry Codes Maintenance > Accumulators. For more details please check Payroll Entry Codes article.

Update the setup as necessary.

Run Rebuild Accumulators

Use below steps.

  1. If you are rebuilding the accumulators for 1 person, select this person in crew list. If you are doing it for several persons - tag them in crew list, is for the whole crew list - just have it opened with correct filter of employment state.
  2. Select Rebuild Accumulators routine

  3. Select correct options.

    • Crew list selection - according to Step 1

    • Year

    • Period From - starting period of rebuilding accumulator, if it has to start from the first month of year, then select 0 as Period From - this is a technical period that carries balances during year closure, it is always a starting period of accumulators year for the system.

    • Period To - should be current payroll period if you are updating current year, or the last payroll period of year if you are updating for previous years

    • "Insert new record if no record found in period" - use option when you see no record of accumulator for needed period in Accumulators History screen.

  4. In the next screen select Accumulator that you need to perform rebuild for.

    We recommend to perform rebuild for one accumulator at a time


  5. You will see the progress bar and info messages listing how many persons were updated
  6. Refresh the system and check Accumulator History to see the changes.

When need to rebuild accumulator for several years, you will have to do it one by one in ascending order going through the same steps described above.
