Crew Manning Module

Description

The Crew Manning Module is a subcomponent of the Rotation Planning Module, designed to streamline the assignment of personnel to vacant shift time blocks. It enables Crew Manning Agents to efficiently allocate available crew members to unfilled shifts, ensuring operational continuity. Agents can only view and manage crew data within their authorized access scope, maintaining data security and role-based visibility. This focused functionality supports decentralized crew management while aligning with the broader goals of rotation planning.

Functionality

This section provides guidance on how to operate the module.

Administrator Workflow

Crew managers are responsible for assigning crew manning companies to vacant shifts, defining rotation planning operators, and setting their permission levels. This section outlines the related procedures.

Assign Manning Agent to a Shift

To assign a crew manning company to a shift:

  1. Open the Rotation Planning module (Modules > Rotation Planning).

  2. In the Rotation Planning view, select the empty shift where you want to assign a manning agent.

  3. On the toolbar, select Crew Manning > Assign to Crew Manning.

  4. In the Assign to Crew Manning dialog, select the Manning Agent you want to assign to the shift, then click Assign.
    The Manning Agent's name will appear in the shift.

To assign multiple Manning Agents to a shift, select the Allow multiple Crew Mannings assigned to the empty shift time block option in Global Options. For more information, see Define Contact Type of the Manning Agents

  1. On the toolbar, click Apply to save the changes.

Assign a Crew Member to a Shift

After assigning a Manning Agency to a shift, a responsible Manning Agent can now assign a crew member to a shift.

  1. Open the Crew Manning module by selecting Modules > Crew Manning

  2. In the list, select the shift to which you want to assign an operator

  3. On the toolbar, click Assign Person. You may also right-click > Assign Person

  4. In the Find Person dialog, select the crew to be assigned, then click Copy Selection

  5. As a result, the Assignee column is now populated by the selected crew member

In addition, you can specify crew manning information for each shift.

  1. In the bottom panel, select the Shift Details tab.

  2. In the Crew Manning Info section, select the reason from the No Manning Reason drop-down list.

The list of manning reasons is fetched from the predefined values in the General Setup. For more information, see Define Reasons.

 

Define Access Permissions

As an administrator, define access permissions per operator.

  1. Open Adonis Control Center.

  2. Select a user for whom you want to define permission levels.

  3. Select the Routines tab > Modules and set the permission levels to None, Write, or Read.

  4. On the toolbar, click Save.

Make sure the access right to the 1050 Crew Manning, 352 Rotation Planning Module routines is granted to the operator.

Operator Workflow

An operator has access rights limited to the Manning Agency to which he/she is assigned. The operator is responsible for assigning crew members to shifts.

Define Reasons

To define reasons for the Crew Manning module:

  1. Navigate to General Codes > Crew Manning > No Crew Reasons.

  2. On the toolbar, click New.

  3. In the No Crew Reason / No Manning Reason dialog, follow the steps below:

3.1. Fill in the fields:

  • Code (mandatory): Enter a unique alpha-numeric APM code.

  • Sort: Define the order number of a record (where 0 means the first record in the list).

  • Is Passive: Specify whether the code is to be active or passive. Passive codes appear as disabled. It is recommended to set a code to Passive if it will no longer be in use.

  • Text: Indicate the name of the reason and its Alternative name, if needed.

  • APP Modules: From the drop-down list, select the APP modules where you want to use the reason.

3.2. Select the Options tab and define the reason type for the current reason:

  • No Crew Reason: If selected, the reason will be available in the Rotation Planning module.

  • No Manning Reason: If selected, the reason will be available in the Crew Manning module.

As a result, a new reason is added to the grid.

Define Manning Agent

To define a Manning Agent:

  1. Navigate to General Codes > Contacts > Contact Types.

  2. On the toolbar, click New.

  3. In the General Code Editor (Contact Types) dialog, follow the steps below:

3.1. Fill in the fields:

  • Code (mandatory): Enter a unique alpha-numeric APM code.

  • Sort: Define the order number of a record (where 0 means the first record in the list).

  • Is Passive: Specify whether the code is to be active or passive. Passive codes appear as disabled. Set a code to Passive if it will no longer be in use.

  • Text: Indicate the name of the reason and its Alternative name, if needed.

  • APP Modules: From the drop-down list, select the APP modules where you want to use the reason.

3.2. Select the Options tab and set the Contact Type to Manning Agent.

As a result, a manning agent is added to the grid.

Define Contact Type of the Manning Agents

  1. Go to Global Options > Crew Manning.

  2. In the drop-down list, select the Crew Manning contact type to flag them as Agents.

  3. Enable the check boxes:

    • Allow multiple Crew Mannings assigned to the empty shift time block: Select it to allow assigning multiple Crew Mannings to an empty shift in the Rotation Planning module.

    • Only the assigned Crew Manning Agents are permitted to assign a person to a shift: Disable this if you want both the Rotation operator and the Crew Manning Agents to assign a crew to an empty shift.

Set Company as Manning Agent

To define the company/contact as a manning agent:

  1. Open the Contacts module (Modules > Contacts).

  2. In the Overview view, select the company you want to define as a Manning Agent and click Open on the toolbar.

  3. In the Common view, set the Contact Type to ‘Manning Agent’.

  4. On the toolbar, click Save. You will see in the Category column the organization/company flagged as ‘Manning Agent'
