Shift Definition Setup
Before creating a new rotation plan, a user should prepare shifts and projects for the future rotation plans to be assigned to.
Let's go to the Rotation Planning module > Shift Definition section to see how we can create and maintain shifts.
This is an example screen:
View Filter:
Active shows active shifts (rotation/shift plan);
Passive shows shifts that were set Passive.You can sort/filter the list by any column clicking on its caption.
We can see New, Open, Delete buttons with corresponding action.
Shift Details
Click New button to create a new shift plan (rotation).
We are going to create a shift plan where 2 months of work on board will alternate with 2 months at home.
Once clicked we are switched to the next screen:
The Details tab contains common information about a shift plan like Code, Name (description) and Start date.
Sorting numbers are used for the program to know in what sequence shift definitions should be shown. You can use, for example, sorting number '99' for shift that is used randomly, and it will be shown at the end of the selection list.
Is Passive, set check-box if you want to make the code passive.
After entering all information, click Save button.
Click Revert if you need to cancel.
Shift Definition > Shifts View
Add shifts to the shift plan on Shift Definition > Shifts view.
Click Add button to add shifts to the shift plan:
Specify shifts Names.
Delay and Measurement columns define a delay between a shift Start and the rotation plan Start date.
In our case, you can see that Shift 1 starts simultaneously with the shift plan (the delay is 0), Shift 2 starts 2 months later.
Delays are not related to the shift length.
Shifts delays indicate when seamen are to be shifted.
You can customize the colors for shifts to be shown in the Rotation Plan.
! Pay attention, it will affect all users.
Gap - It can be used by those companies that would like to have a gap for shift generation when creating a new plan, so that each next shift starts certain number of days after the previous one.
For example:

Shift Definition > Periods View
Specify periods for shift on Shift Definition > Periods view.
Here we define what activities (onboard/leave or only onboard) will be generated when person is assigned to this shift.
Click Add button to add period(s):
In our example, you can see two periods which both last for 2 months.
In the Activity column, an activity that corresponds to the period is specified.
Only activities that are not set Passive in General Codes can be selected for a period definition.
When a rotation plan is activated, activities of specified type will be created for persons linked to this shift (plan).
The checkbox set automatically under Onboard column means that the period is marked as Onboard (the period of sea-service activity).
Click Save button.
Project Definition
Before creating a new rotation plan a user can prepare rotation projects for the future rotation plans to be linked to.
This is optional for every customer. Projects can be used if a vessel should be assigned to a project that requires, for example, additional crew or certification, etc.
One project is associated with one rotation plan. It allows to specify additional requirements for seamen included into the project. For example, for a specific voyage it can be necessary that all the seamen should have US visa while for other voyages it is not mandatory.
Also, if a cruise liner needs an interpreter to be on board during a voyage while normally this position is not foreseen for the vessel, this additional position can be specified as an additional requirement for a project.
To create a new project or find existing ones, please select the Project Definition tab.
Let's see an example screen:
View Filter:
Current displays currently active projects;
History shows projects that already have expired (their Date To is less than today).The buttons under Manage menu are self-explaining:
New – to create a new project;
Open - opens details of the selected project;
Delete - removes project.Projects can also be set under Setup > Tables > Projects.

The Details tab contains main information, like a project Code, Text (project name), Project Manager, Start/End dates and Color (optional).
Sort numbers are used for the program to know in what sequence codes should be shown in drop-down list. For example, sorting number '99' will be shown at the end of the list. We set '3' as we are going to use this code often.
Is Passive, set it if you want to make the code passive.
After entering all information, click Save button.
The Position Requirements tab. Here will be possible to define additional positions for the project and select which certificates / competences a person must have to apply for this position.
Functionality is at the development stage.
The Overall Project Requirements tab. Here will be possible to input requirements for the entire project; specify which competence, medical / travel documents a person must have to be able to join the project.

Vessel Projects
At Vessel Projects view we can link vessel to vessel project created beforehand on the Project Definition tab (see section above):
It is optional and can be used if a vessel should be assigned to a project that requires additional crew or requires additional certification, etc.
A project allows specifing additional requirements for seamen included into the project.
Defined vessel projects can be displayed in Rotation Plan Maintenance just above the vessel name:
In the Rotation Planning gantt chart, select the project timeblock and view the project details on the tab. The Project timeblock details dispaly position requirements for the selected project and provide calculations of deviation, i.e. the difference between the number of positions required for the project and those available in the plan having shift timblocks within the project date range
Note that project dates can be changed directly by moving its margins or inputting correct information on Details tab > Start Date / End Date.
For this, Display Vessel Projects in rotation plan option should be set under Options > Rotation Shift Gantt > Display Data:
Linking Project to Vessel
At Vessel Projects view, click Add Vessel Link icon under Manage menu:
Define all needed information: Select vessel, assign needed project and set date from/to.
Use Delete Vessel Link if you want to remove record.
At Person Link tab, you can link PIN(s) to vessel projects.
