APP Shipmate Companion module

Description

Adonis Shipmate Companion is a powerful web-based solution designed to enhance the efficiency and connectivity of maritime crew management. It provides vessels with easy access to crew information, crew changes, personal information and many other features. Shipmate Companion ensures that vessel administrators can manage their duties around crew seamlessly, This innovative tool helps to reduce administrative burdens, improve compliance, and boost the overall satisfaction of maritime professionals.

The Shipmate Companion module provides Masters an overview of upcoming crew changes, crew competence profiles and compliance and let them produce crew lists and port reports with a keystroke.

The Shipmate Companion is working directly on the office core Adonis database, runs on 4G and Leo networks and requires no shipboard installation or replication.

Functionality

The section will teach you how to operate the module.

To get started, log in to the Adonis Crew Portal and select the Shipmate Companion tile:

This redirects you to the page where you can choose to View Crew Change or Create Reports by clicking the Crew Change or Reports tile, respectively:

The Shipmate Companion module is available only after granting access to it in Adonis Administrator Portal. For more information, see Housekeeing.

 

View Crew Change

By clicking the Crew Change tile of the Shipmate Companion module, opens the crew change scheduler on your vessel which includes getting on and off the vessel as well as crew promotions, crew currently onboard:

To get crew change details, follow the steps below:

  1. At the top of the calendar, choose the month to be considered. By default, the current month shows up.

  2. Pick a calendar tile by date. The tile illustrates the count of people signing on and signing off as well as being onboard or promoted on a specific date. Besides, it highlights the number of expired and missing documents on the current vessel by date:

Selecting a calendar tile enables the tabs that provide an overview of crew members being onboard, promoted, signed on or signed off on a selected date. They are:

 

Onboard Crew

Clicking the a calendar tile displays a list of crew members currently onboard the vessel (those with the Current or Planned activities in APM):

The Status column shows orange and red circles which correspond to the crew member’s expired and missing documents, accordingly.

 

Crew data is presented on the following tabs:

  • DETAILS. View crew’s personal information and update it if required. Once done, click Update to save the changes.

  • CERTIFICATES. View crew’s certificates and update/upload them if required. Once done, click Update to save the changes.

  • TRAVEL. View crew’s travel documents and update/upload them if required. Once done, click Update to save the changes.

  • MEDICAL. View crew’s medical documents and update/upload them if required. Once done, click Update to save the changes.

  • NEXT OF KIN. View crew’s relatives and update them if required. Once done, click Update to save the changes.

Please note relationship, certificates, travel and medical documents are fetched from APM. For more information, refer to the APM documentation.

 

Embarking Crew

Click the Embarking tab to view the list of crew signed on on a specific date. Select a crew to view the details:

Crew data is presented on the following tabs:

  • DETAILS. View crew’s personal information and update it if required. Once done, click Update to save the changes.

  • CERTIFICATES. View crew’s certificates and update/upload them if required. Once done, click Update to save the changes.

  • TRAVEL. View crew’s travel documents and update/upload them if required. Once done, click Update to save the changes.

  • MEDICAL. View crew’s medical documents and update/upload them if required. Once done, click Update to save the changes.

  • NEXT OF KIN. View crew’s relatives and update them if required. Once done, click Update to save the changes.

 

Disembarking Crew

Click the Disembarking tab to view the list of crew signed off on a specific date. Select a crew to view the details:

  • DETAILS. View crew’s personal information and update it if required. Once done, click Update to save the changes.

  • CERTIFICATES. View crew’s certificates and update/upload them if required. Once done, click Update to save the changes.

  • TRAVEL. View crew’s travel documents and update/upload them if required. Once done, click Update to save the changes.

  • MEDICAL. View crew’s medical documents and update/upload them if required. Once done, click Update to save the changes.

  • NEXT OF KIN. View crew’s relatives and update them if required. Once done, click Update to save the changes.

 

Promoted Crew

Click the Promotion tab to view the list of crew promoted on a specific date. Select a crew to view the details:

  • DETAILS. View crew’s personal information and update it if required. Once done, click Update to save the changes.

  • CERTIFICATES. View crew’s certificates and update/upload them if required. Once done, click Update to save the changes.

  • TRAVEL. View crew’s travel documents and update/upload them if required. Once done, click Update to save the changes.

  • MEDICAL. View crew’s medical documents and update/upload them if required. Once done, click Update to save the changes.

  • NEXT OF KIN. View crew’s relatives and update them if required. Once done, click Update to save the changes.

 

Create Report

The IMO_CrewList report is implemented for the Shipmate Companion module. The report displays the crew onboard the vessel for the selected date and port.

On the IMO Onsigning Offsinging List dialog, fill in the fields below:

  • Select date. Pick the date that corresponds to the existing crew change date.

  • Voyage number is the voyage/cruise name fetched based on the data predefined for a certain crew change.

  • Port of arrival/departure is the port name fetched based on the data predefined for a certain crew change.

  • Last port of call

  • Arrival. Select the option to display data on crew change arrival (e.g. arrival port, arrival date).

  • Departure. Select the option to display data on crew change departure (e.g. departure port, departure date).

  • Sign On List. Select to display the list of crew signing on on the selected date.

  • Sign Off List. Select to display the list of crew signing off on the selected date.

Once done, click GENERATE.

As a result, the IMO Crew List report opens up:

The section enables you to perform a one-time setup of the module.

 

Adonis Personnel Manager

Define Certificates

Define the competences that will be in use the Shipmate Companion module. For this, first, log in to the Adonis Personnel Manager. Once logged in, navigate to the Setup ribbon tab > General Codes > Competence > Competence Code and proceed with the following steps:

  1. In the list of competences, double click a competence to be affected and view the details:

  2. In the dialog, fill in the fields as described below:

    • In the APP Modules field, select Shipmate Companion.

    • In the Options > Details tab, select STCW.

    • Select the Document Type by setting one of the listed types.

The selected document type corresponds to the competence type in the Shipmate Companion module and will be stored accordingly:



  1. Click OK to save the changes.

Adonis Administrator Portal

Define Roles, User Groups

Once logged into Adonis Administartor Portal, follow the directions in:

  • Set Roles to create roles and set their permission levels.

  • Define User Groups to collect roles into groups as well as assign crew members’ positions to certain roles.

 

Maintain Reports

Before getting started, be advised to navigate to your FTP area and download the IMOCrewList report:
