Description
The report displays overtime hours for the selected period, rates and the amount of money to be paid for overtime hours for every crew member.
The report considers every single week in the defined period separately. In case the total of overtime hours in a week is a negative number, the report does not take it into account. Thus, the data presented in a timesheet and a report may be different.
Timecard administrator needs to be able to see reports for their team members (based on a chain of approval) for the selected period of time to see the number of overtime hours for the selected period, rates and amount of money to be paid for overtime hours for each subordinate.
In order that report works correctly, the chain of approval should be setup.
Report will display the data concerning currently registered team-member & his co-workers having the same position and positions below current in the chain.
Logic
Report displays all crew members belonging to your department & below your position in the chain of approval.
A person will be displayed only if he had overtime for his work hours during the selected period.
You can define how actual values are rounded. It is set up in payscale > Overtime > OT Calculation Rules.
You have default rounding to 15 minutes (for example: if the value is 2:43 – it will be rounded to 2:45)
But you can set it to be rounded to 30 minutes by setting the corresponding check-box.
So, if the value is 2:47 – it will be rounded to 3:00
In its turn, OT value (hh: mm), for example, 1:15 will be converted into a number value = 1.25 for calculation purposes.
The report will show the overtime payment rate that exists for a person's payscale, multiply it by the OT number value and count the amount to be paid for overtime work.
The normal quantity of work hours is 10 hours per day.
To access the Overtime Hours Pay report, please log in to the Crew Portal web interface, Time and Attendance module, and select Co-Workers Timesheets -> Reports -> Generate.
Dialog
Once you click the needed report, a dialogue window will ask you to add report parameters:
Period – select the needed period from a dropdown list with all periods that were defined by the administrator in APP.
Pins - this dropdown list will display persons that have/had a sea-service activity for the selected period. Only positions that are set up as your team members will be selected.
The list will be created depending on the selected period, so even if a person has already signed off but you need to include him in this report - he will still appear in the list for the period when he was onboard.
You can either choose crew members one by one & tick needed checkboxes, or you can use Select All to tick all at once.
Click Submit button to preview the report.
Layout
In the report header, we can see the vessel name, report name, department, and set period.
The report grid shows persons which have overtime hours for the selected period.
Displayed data is grouped by position name and by week number. Inside a group, it is sorted by pin.
Let's review an example:
We can see Week Nr., Name and Position displayed for the selected period.
-If a person worked occupying several positions or had the same position but with different payscales, he will be displayed several times.
Crew # shows the pin of a crew member.Total (h) worked displays overtime turned-in number value for the selected week.
For example, for pin 2312: his OT is 4 h 15 min is converted into number value = 4.25 (where 15 min = 0.25)
Night Time (h) - column shows the number of work hours that took place from 00:00 to 05:00 within the selected period (is included in the calculation if 'Night Time' Compensation rate row is defined for position & payscale for this pin).
$/hrs. displays an overtime rate for position & payscale for this pin in selected period.
It is defined in the Adonis Personnel Manager > Setup > Payscales > Overtime > OT Calculation Rules.
And the last column shows the amount to be paid for overtime work (payment rate multiply by OT number value).
